
E – MAIL TIPS
1. WHAT IS AN E-MAIL?
E-mail means Electronic Mail. It is a network means of transferring and receiving message and other documents in the easiest and most convenient way world wide. An E-mail address must contain the symbol @ which indicates the service provider. E.G @yahoo.com. Yahoo is the E-mail service provider, therefore your ID or Username@yahoo.com.
2. IMPORTANCE
1. It is the most easiest and convenient way of transferring and receiving data and messages.
2. It saves time and money unlike air mail.
3. It is a very fast means of transmitting and receiving data.
3. ID / USERNAME
This refers to the name you want to use or the name you are using as your e-mail address. E.g. excape2g22000.
4. PASSWORD
This is a secret six or more letter or character word that you can always remember and use each time you want to check your mail. It appears to be darkened dots (….) when typed.
5. SIGN / LOG IN
After typing your username and password, the next step is to press SIGN IN / LOG IN or the ENTER key to open your mail box.
6. E-MAIL ADDRESS
This refers to the username or ID plus the @ sign and the mail service provider. E.g. excape2g22000@yahoo.com
7. INBOX
The main page which indicates or shows whether you have received a mail or not and shows the number of message received.
8. SENDER – SUBJECT – DATE - WEIGHT
When you click on Inbox, you’ll find: sender-date and weight which shows the one who sent you the mail, the title of the mail, date and the weight of the mail respectively. To read your message, click on either sender’s name or the title of the mail depending on the mail you are using, whether Yahoo or Hotmail or Otherwise.
9. SENT
This shows the number of messages you have composed or sent to people. To check it, click on Sent messages.
10. TRASH
Message that are deleted are first stored in the trash folder and later erased and cleared off. It does not count to your mail storage limit.
11. DRAFT
This is where a message saved as draft is retrieved, corrections and additions or attachments added and sent.
12. COMPOSE
This is a bottom to click on if you want to type and send messages.
13. REPLY
To respond to a message received, click on Reply which will send the e-mail address, the subject and the message of the sender to the compose box. You can choose to delete the message and type yours or type it like that.
14. FORWARD
Click on forward to send a copy of a message received to another person or people. It will open the compose box which the forwarded message attached, the subject but leaves the recipient’s address column blank. Type the e-mail address and then click SEND.
15. DELETE
There are two means of deleting unwanted messages. At the Inbox, check the sender’s box, then click delete. Also, when the message you want to delete has been opened, just click on delete and the message will go off. If you want to delete all messages, check the sender box which will check all the message and then press delete.
16 NEXT & PREVIOUS
Click on the Next to read the following message after the first one than going back to Inbox. Click also on Previous to read the one before the recent.
17. BACK TO MESSAGE
To return to your Inbox after reading your mail, click on Back to message rather than clicking on the Back bottom.
AT THE COMPOSE BOX
18. TO: Refers to the recipient’s or the one you are sending a message’s e-mail address column.
19. CC – CARBON COPY: To send the same message to two or more people with all the recipient knowing that a copy of the message has been sent to other people. Type the e-mail address separated by commas.
20. BCC – BLIND CARBON COPY: To send the same message to two or more people without each of them knowing that a copy has been to others, their e-mail address separated by commas.
21. SUBJECT: This refers to a summary or title of the message to be sent.
22. LETTER BOX: This is a dialogue box in which you type the message.
23. SAVE A COPY TO SENT FOLDER: Click on the box either to keep a copy of the message you are sending or not. When the box is checked correctly, it means a copy will be saved when you send a Vice Versa.
24. SAVE AS DRAFT: If you are running out of time of you left some important documents to be attached to the message you have typed and don’t want to erase it, you can save it by clicking on Save As Draft buttom. It is retrieved by clicking on Draft and then on the title of the message.
25. SPELL CHECK: To check for correct spelling of some words in the message being typed, click on Spell Check buttom. Make sure you have filled and finished typing before you click on Spell Check or you check for spelling. After checking, click on SEND to submit the message to the recipient.
26. INBOX / BACK TO INBOX: After clicking on SEND, it will indicate message sent or reply sent. To return to Inbox, click on Inbox or Back to Inbox rather than clicking on back.
27. ICONS AND EMOTIONS:
FF – FONT FACE: This gives you the opportunity to select how thick or thin you want your message to appear.
FS – FONT SIZE: To select the size of the words in your text typed.
B - BOLD: To darken or Deeping the text typed.
I – ITALICS: To italise a text or in a stylish way.
U – UNDERLINE: To underline the text typed.
In all, first highlight the text by clicking and dragging over the text. Or if on the whole message, just hold CTRL (control) and press A to highlight all text and then select what you are after.
28. MESSAGE FAILURES: If you send a message and it failed to go, it may result from misspelt e-mail address, address unavailable, mailbox closed or recipient’s mailbox quota or storage limit reached or full.
WEBSEARCH
These are search engines used to find or search for a websites or information. Examples are Google.com, Yahoo search. Msn search, etc. To search for an organization you don’t know the website or want their e-mail address or information about them, in the address bar, type e.g. www.google.com and then press Enter. When it opens, type the name of the organization or the information you are after; e.g. Knust, News, Sports, Games, Schools and Colleges, fifa etc and then click on Google search or Enter. Usually the first information that appears is the solution, but you can choose to check the others if the one chosen did not yield any satisfaction. When you click on the information, it will open the website; write the address shown in the address bar. The next time you want to visit the site, just type the address you wrote down in the address bar and then press Enter. It will open the website straight away.

KEYS PURPOSE
- Ctrl + A To highlight a whole text or message.
- Ctrl + C To copy a highlighted text or message.
- Ctrl + X To cut a highlighted text or message.
- Ctrl + V To Paste a highlighted text or message.
- Shift + F3 To capitalize small lettered text.
- Shift + an alphabet To type in capital letters without use of CAPS
- CAPS LOCK To type in capital letters.
- ALT + F4 To close an opened window or program.
- F5 To Refresh or re-open a disorganized page.
- TAB Used in the absence of mouse.
- NUM LOCK To type numbers on the left of the key Board.
